What is an Online Business Manager (OBM)?

In the simplest terms, OBMs are project managers. They come up with the strategy for how to get things done, and then parcel out tasks to their team. OBMs are responsible for the daily operations of the whole business, or for the entirety of a project – which includes the work of other team members. OBMs LEAD a team, often including VAs, web designers, writers and social media experts. OBMs work with the biz owner to discuss strategy and priorities.

What is a Virtual Assistant (VA)?

In the simplest terms, a virtual assistant performs administrative and other support tasks for your business from a remote location. VAs work part-time, full-time, or on a temporary basis. A Virtual Assistant is a contractor who provides services which allows you to create extra time for you by taking care of tasks you can’t do, don’t do and shouldn’t do. We can be called a outsourced office admin team, business support team or a virtual secretarial service.

What hours will a OBM/VA will available?

Myself and the team are available office hours Monday to Friday 9am to 5pm. We work to Australian Eastern Standard (AEST) and Daylight Time (AEDT). We are closed on all Australian and Victorian public holidays.

How do you keep my information secure?

Security and confidentiality are very important to us. As an Executive Assistant for over 25 years, I know the importance of this and all team members are trained to know this is priority number one for our clients.

Nord VPN - our equipment and devices use a private VPN connecting us to a private network, creating an encrypted connection that masks our IP address to securely share data and use the internet.

Passwords - We use LastPass for passwords and codes.

File Access - all files are shared only via upload our project management tool Asana and only VA working on your information will have access.

Confidentiality Agreements - We include this as part of our Service Agreement

Employee Checks - We complete National Police Record checks on all of our team. If working onsite around children, Working With Child Checks are also required.

When do I pay for my hours?

Monthly plans are invoiced in advance of the 15th or 1st of each month and are due for payment the 15th or 1st of the month work completed.

Casual hours are purchased as pre paid packs and work will commence once payment has been received.

Packages or Projects may be invoiced in instalments with an agreed deposit amount up front.

What happens if I don’t use my hours?

Casual hours are purchased in pre-paid packs (minimum 3 hours) and are valid for six (6) months from purchase.

Monthly plans allow you to have a dedicated OBM and/or VA available to you within our office hours along with a preferred rate. Hours do not roll over to the next month. In our initial onboarding session with you we agree on non-urgent projects that can be undertaken when monthly hours are available to be used. It will also be part of the monthly catch up call with yourself, your OBM, your VA and myself as Director. This is how we proactively use all monthly hours on the off chance you have a quiet month.

What if we aren’t the right fit?

We understand that there are reasons why it sometimes doesn’t work out. With minimal fuss, just email us and we can organise another OBM and/or VA to support you. Our business goals are we will focus on providing the best customer service to all our clients no matter how big or small.  Service means delivering high level and exacting work on time meeting client deadlines, regular, effective communication, and above all, listening to our clients, understanding them and responding to their administrative support needs.

Ultimately the buck stops with me as the Director to manage your client needs. If it means finding you a better fit we will make it work.

We are aiming to ensure Admin & Co. is the local market leader in freelance/outsourcing of everything administration.  Everything we do, every project, is our opportunity to build a reputation for delivering professional, ethical and confidentiality assured administrative support services.

If you would like to cancel our service agreement altogether, we’d be sad to see you go. We will require at least 30 days notice and you will invoiced for one more month after we’ve received your notice.

Remember it’s ok to break up with us; it’s one of the reasons working with a virtual assistant is easier than the people and performance management involved with an employee.

Do you have insurance?

Yes. We carry Public Liability, Product Liability and Professional Indemnity insurances.
